This policy explains what UltraLife ([LEGAL ENTITY NAME], "we," "us") collects when you use ultralife.co and our coaching services, how we use it, and the choices you have. We've written it to be read, not skimmed past. If anything here is unclear, email us at [CONTACT EMAIL].
What we collect
Information you give us
- Forms on this site. When you request a strategy session, join the newsletter, apply for a retreat, or ask us to email your calculator results, we collect what you enter: typically your name, email address, phone number, and anything you write in a message field.
- Coaching relationship. If you become a client, we collect the information needed to coach you well: goals, training history, equipment, injuries or limitations you choose to share, and the workouts, measurements, and messages you log in the coaching app.
- Kickoff Calls and strategy sessions. Notes from calls so we can follow through on what we discussed.
Information collected automatically
- Site analytics. We use Cloudflare Web Analytics, which measures page views and site performance without cookies and without tracking you across other sites. [If Google Analytics is enabled: We also use Google Analytics 4 to understand which pages and links people use. Google may set cookies and process your IP address; we've enabled IP anonymization and don't use it for advertising.]
- Spam protection. Our forms use Cloudflare Turnstile, which checks that a submission comes from a person, not a bot. It may process technical information about your browser to do that.
- Embedded video. The calculator page embeds a YouTube video in privacy-enhanced mode, which means YouTube doesn't set cookies until you press play. Once you do, YouTube's privacy policy applies.
- Server logs. Our host (Cloudflare) records standard technical data such as IP address, browser type, and the pages requested, used for security and to keep the site running.
What the calculator does with your numbers
The calorie and macro calculator runs entirely in your browser. Your age, height, weight, and goals are not sent to us or stored anywhere unless you use the optional "email me my numbers" feature, in which case we store your email address and the results you asked us to send.
How we use it
- To deliver the coaching, calls, retreats, and content you asked for.
- To respond to your questions and requests.
- To send emails you signed up for, including the newsletter, trial onboarding, and program updates. Every marketing email has an unsubscribe link, and unsubscribing takes effect promptly.
- To understand how the site is used and make it better.
- To protect the site, our clients, and ourselves from fraud and abuse.
We don't sell your personal information, and we don't share it with advertisers or data brokers.
Who we share it with
We use a small number of service providers to run the business. They process your information only to provide their service to us:
- CoachRx delivers our training programs and handles Always Ready billing. When you start a trial or subscription, you create an account with CoachRx and enter payment details on their checkout page; we never see or store your full card number. CoachRx processes payments through Stripe. Their privacy policy and terms apply to your account there.
- ActiveCampaign stores our contact list and sends our email.
- Google Workspace (Calendar, Meet, Gmail) for scheduling and holding calls and for email.
- Zapier moves information between the tools above, for example so a new trial member receives our welcome emails.
- Cloudflare hosts the site, provides analytics, and protects our forms.
- YouTube for embedded video.
We'll also disclose information if the law requires it, to protect someone's safety, or as part of a sale or reorganization of the business (in which case this policy would continue to apply).
How long we keep it
We keep client records for as long as you're a client and for a reasonable period afterward so we can pick up where we left off if you return, then delete or anonymize them. Newsletter subscriptions are kept until you unsubscribe. Form submissions that don't lead to a coaching relationship are kept for up to two years. Analytics data is aggregated and not tied to you.
Your choices and rights
- Email. Unsubscribe from any marketing email using the link at the bottom, or by emailing us.
- Access, correction, deletion. Email [CONTACT EMAIL] and we'll show you what we hold, fix it, or delete it. We'll confirm your identity first and respond within 45 days.
- Colorado and other state privacy laws. Depending on where you live you may have additional rights, including the right to opt out of targeted advertising or sales (we do neither) and the right to appeal a decision we make about your request. Email us and we'll honor them.
- Do Not Track. Our analytics don't track you across sites, so there's nothing to turn off, but we don't respond to browser DNT signals in any other way.
Children
Our services are for adults. We don't knowingly collect information from anyone under 18. If you believe a minor has given us information, email us and we'll delete it.
Security
The site is served over HTTPS, our providers are established companies with their own security programs, and access to client data is limited to the two of us. No system is perfectly secure, so if we ever learn of a breach affecting your information we'll tell you as the law requires.
Changes
If we change this policy in a way that matters, we'll update the date at the top and, for significant changes, email current clients and subscribers.
